Administrative Assistant
for Adult and Graduate Studies

Part-time, 20 hours per week

Position summary
This position acts as the primary administrative representative for all aspects and issues related to students in the Graduate Programs in Business (GPB), Graduate Programs in Education (GPE) and Professional Development Workshops for Educators. Additionally, this position provides receptionist and secretarial services for Adult and Graduate Studies staff members, graduate program directors and acts as the primary representative for the business office, managing and administering all aspects and issues related to graduate students in special programs.


Responsibilities

Reporting to the Director for Adult and Graduate Studies, this position will be responsible for:

  • Prepare and distribute correspondence; proof read letters, articles, and other documents.
  • Provides administrative support to graduate program directors as requested.
  • Prepare and distribute class supplies to the appropriate group mailbox as required.
  • Coordinate orientation meetings, including but not limited to: room reservations, menu reservations, assembling the books and materials for students’ first semester, notify appropriate administrators and faculty members, confirm attendance with phone call reminders, and assist the AGE Director and Graduate Program(s) Director with final details.
  • Supervise periodic mailings ensure printing is completed on schedule and that mailing is prepared correctly. Maintain mailing list.
  • Work with students on the development of their payment plan worksheets.
  • Coordinate the billing and respond to student and employer inquiries.
  • Maintain communication and coordination between the students, their employers, financial aid and the business office regarding employer reimbursement plans.
  • Provide receptionist services, including but not limited to: visitor reception, taking accurate and complete phone messages, conduct initial phone inquiry interview, determine and direct prospective student to appropriate representative.
  • Provide administrative support for Professional Development Workshops for Educators and Summer Math Workshops.
  • Co-manage graduate website pages


Compensation
Commensurate with education and experience within the university pay scale.
